Acquisitions and Administrative Assistant

ACQUISITIONS AND ADMINISTRATIVE ASSISTANT, MIT Press, to assist an acquisitions editor with project management for book programs in the physical sciences, mathematics, and engineering across a range of publication types, including trade books, textbooks, and professional monographs; and assist the department administrator and editorial director with a variety of tasks.  Responsibilities include working with authors to prepare manuscripts and artwork for production; handling administrative functions such as data entry, correspondence, and payments; managing the peer review process for new projects; soliciting endorsements for forthcoming books; conducting research on competing and comparable titles; preparing production estimates, P&L statements, and publishing plans; assisting editors and authors as liaison with other departments; overseeing permissions clearance; and preparing projects for presentation and presenting them as needed.  Will also plan and schedule meetings and events; coordinate remote presenters via Webex; gather and format documents for distribution; schedule meetings and take meeting notes; create and distribute departmental reports; organize author lunches/events; reconcile monthly contract signings; file; distribute mail and office copies; maintain department wiki and document department procedures; communicate workflow changes; and organize seasonal list planning meetings.

Job Requirements

REQUIRED: high school diploma or its equivalent; at least three years’ administrative experience; excellent organizational and communication skills; strong computer skills using MS Word, FileMaker, Excel, and PowerPoint; ability to coordinate and prioritize multiple task demands and effectively manage time.  Seek self-motivated individual who shows attention to detail and enjoys working as part of a team.  Bachelor’s degree in a related field preferred.  Publishing experience would be helpful.  Job #17741-4
