Assistant to the Director


The University Press of Mississippi (UPM) invites applications for an entry-level position of Assistant to the Director. Functioning as both an editorial assistant and an administrative assistant, the Assistant to the Director is responsible for assisting the Director with acquisitions work, including project management; peer review; preparing material for staff and board meetings; and preparing manuscripts for copyediting; as well as administrative work that includes managing the front office; scheduling meetings; and fundraising.

A bachelor’s degree is the minimum level of education necessary. Some experience in publishing or a related field is preferred. This position requires a sharp eye for detail and excellent organizational, writing, and editing skills, as well as the ability to manage multiple projects simultaneously, adapt to evolving technology, perform accurate internet research, maintain confidentiality, professional demeanor and conduct, and communicate with the public via email, on the phone, and in person.

Specific duties include but not limited to:

 Maintain correspondence with authors, series editors, funders, board members, university presidents and other contacts

  • Maintain director’s daily calendar, including schedules for academic conferences
  • Check manuscripts for text and image permissions and maintain permission logs and design lists
  • Prepare cost estimates, contracts, board docket, reprint forms, and other material
  • Prepare grant applications and assist in finding appropriate grant opportunities
  • Attend meetings to take minutes and prepare and distribute minutes
  • Attend functions outside of regular office hours to support authors, promote titles, and increase the Press’s visibility
  • Answer and direct multi-line telephone; relay messages; distribute faxes; check, forward, or reply to all press email and regular mail; handle requests and inquiries
