Description

Rutgers, The State University of New Jersey, is seeking a Business Assistant for the Rutgers University Press. this position is under general supervision of the Director of Finance and assists with all accounting, financial, and administrative responsibilities for the University Press, including financial reporting, budgeting, royalty management, forecasting, cash management, payroll, management reporting, and grant administration.

Among the key duties of this position are the following:
• Participates in the monthly and annual financial close process, including preparation of journal entries, account reconciliations, variance analyses, and financial statements.
• Creates contracts for all new titles published, set up all new Authors, Series Editors and Agents, and enter royalty advances in Cispub royalty module. Ensures that all annual royalty statements are mailed to recipients by March 31st. Request checks for all recipients that are due a royalty for the preceding calendar year. 
• Assists with the development and monitoring of the fiscal year operating budget, including preparing budget templates, providing Department Managers with YTD expenses, and entering budget in EPBCS.
• Prepares monthly Anniversary P&L summary of actual sales vs. forecast for titles released one, two, and three years after release date.
• Prepares deposits of checks and cash, deliver deposit bag to cashiers office, and post cash receipts journal entry in Oracle.
• Processes payments for Honorariums, Royalty Advances, and Invoices. Submits Service Requests to generate Purchase Orders for Book Printing jobs, Direct Mail and Advertising campaigns. Sets up new vendors in the University’s procurement system. 
• Updates authors’ addresses in RU Marketplace (SciQuest), Cispub, and Firebrand as needed.
• Downloads ebook sales reports and send them to CDC (Chicago Distribution Center) for processing. Maintains and updates Ebook vendor summaries.
• Processes biweekly hourly payroll, including entering hours worked by all interns.
• Processes requests for supplies, place work orders, and follow up on facilities questions.
• Completes other related tasks and special projects as required.

Qualifications:

Education and Experience

• Bachelor’s Degree in Business Administration, Accounting, Finance or related field.

Required Knowledge, Skills, and Abilities

• Extremely detail oriented

• Excellent interpersonal, organizational, and communication skills

• Proficient with Microsoft Excel, Word, and Outlook

• Ability to work in a fast-paced environment and manage multiple priorities at one time

• Ability to work independently and as part of a team

Preferred Qualifications

• Familiarity with Rutgers University systems.

• Prior experience in a Finance, Accounting, Accounts Payable, or Accounts Receivable position. Experience in Higher Education and/or Publishing. Equipment Utilized

• Cispub, Firebrand, RU Marketplace (SciQuest), Oracle Cloud Financial Management, EPBCS (Enterprise Budget and Planning Cloud Service), Expense Management, PeopleSoft Management, Sage 100 ERP, Smart View, and Tableau.
